Refund and Withdrawal

The refund terms and conditions for the fees and the security deposit have been outlined separately for the incoming class (before attending the semester) and the students admitted as under:

 

1. Incoming Class (before attending the first semester)

The first semester fees for the incoming class is payable under relevant break-ups as mentioned above. The terms for refund of first semester fees before attending the semester are laid down as follows:

  • For withdrawals with a notice of 45 days before the start of classes - 10% of the Balance Fees Paid (Balance Tuition+Food+Lodge) or Nu.6,000/- whichever is less will be refunded

 

  • For withdrawal less than 45 days notice - No refunds will be entertained.

Procedure

  • Application for refunds must be made in writing to the Registrar stating the reason for withdrawal of the applicant.
  • Money Receipts for the payments made will have to be enclosed with the application.
  • Refund process may take up to 30 days from the date of receiving the application.
  • An authorization / letter of authority from the student or their Guarantor will be required to claim the refunds admitted, in case the student or their Guarantor is unable to collect the refund in person. 

 

2. Admitted Students

Students who choose to withdraw after the start of the semester (either fully or partially) are entitled for fee refunds in accordance with the following terms:

  • Refund of Fees
  • Notwithstanding the gravity of circumstances warranting withdrawal from the college or the duration of payments made, after the start of a semester a student is not entitled for refund of any fees for that particular semester, either in full or part thereof.
  • Students, who have made advance payments for the subsequent semester and choose to withdraw or are subject to withdrawal during the semester, will be entitled for full refund of the advance fees paid for the subsequent semester only. No refunds will be made out of fees paid for that semester.

3. Refund of Security Deposit

Security Deposit will be refunded to the students upon their departure from the college. Departure from the college may take place voluntarily or due to other factors such as failure in the course. Refund of security deposit will be subject to the following terms:

  • Student shouldn’t have any outstanding fee obligations to RTC.
  • There shouldn’t be any liabilities against the student from any of the RTC Departments viz. Library, Residence Halls, Stores, Sports, Administration, Finance, fines, etc
  • In case of outstanding fee obligations/liabilities against the student, the Security Deposit amount will first be adjusted to settle all the pending liabilities. The amount remaining after settlement of these liabilities will be eligible for refund.
  • All formalities for departure/withdrawal must be completed in full viz. handing over of the college properties, obtaining ‘No Due Certificate’ from the respective incumbents, etc.
  • No Due Certificate’ in the prescribed format must be obtained. This will need to be validated by the Registrar.
  • Student ID card must be surrendered to the Registrar

 

4. Refund Procedure

  • Application for departure from the college (mentioning the claim for security deposit refund) will have to be made in writing to the Registrar.
  • After validating the application, completeness of the required formalities and obtaining the ‘No Due Certificate”, the Registrar will forward the refund claim to the Finance Section.
  • The Finance Section will process the refund in line with the Registrar’s certification.
  • Refund process may take up to 30 days from the date of receiving the claim at the Finance section.
  • The Finance section will intimate the concerned student/their parent or guardian once the refund is admitted and processed with intimation to the Registrar.
  • An authorization / letter of authority from the student or their Guarantor will be required to claim the refunds admitted, in case the student or their Guarantor is unable to collect the refund in person. 

5. Refund of Other fees

  • Supplementary exam fees are non-refundable 

 

6. Withdrawal Procedure

  • All requests for withdrawal from the College stating the reason for withdrawal must be made in writing and submitted to the Registrar.
  • Written permission for withdrawal from the college must also be given by the Guarantor in case of voluntary withdrawals.
  • A student who, for no valid reason remains absent from classes for an unacceptable length of time during a semester may be asked to withdraw from the college and no refund of fees will be given.
  • All formalities for departure/withdrawal must be completed in full viz. handing over of the college properties, obtaining ‘No Due Certificate’ from the respective incumbents, etc.
  • ‘No Due Certificate’ in the prescribed format must be obtained. This will need to be validated by the Registrar.
  • Student ID card must be returned / surrendered to receive the refund.
  • Refund of Fees / Security Deposit will be applicable as per aforementioned clauses.
